Request for Proposals Best Practices
So you want to create an RFP?
Working with contractors and consultants will likely be a part of your grant activities. Resources for crafting and building a great RFP process are below.

- When using government funding, make sure to chat with your county attorney to make sure you are following any rules/regulations that the county has for procurement. It would be better to air on the side of caution with any boilerplate language or process that the county recommends.
- If you are working with PCTGP funding, be sure to follow all Dept. Of Commerce procurement requirements.

Wild Prairie Strategies serves as the lead project coordination and grant administration partner for the Town of Broadus under the Pilot Community Tourism Grant. Our responsibilities include overall project management, stakeholder coordination, grant compliance, community engagement support, and reporting.
We were proud to be the first community in the state to have a fully executed contract approved under the grant program. Since then, we have ensured on-time and thorough quarterly reporting, consistently submitted with little to no follow-up questions from the Montana Department of Commerce. In addition, monthly draw requests are submitted and processed promptly, maintaining a steady flow of funding for project implementation.
As part of our services, we developed and managed the Request for Proposals (RFP) process for the Preliminary Architectural Report (PAR) for the Powder River Historical Museum Welcome Building. Through this process, we secured a highly qualified architectural firm, High Plains Architects, to lead the project, ensuring the PAR meets all CDBG compliance standards and reflects the community’s goals.
Our team can support your committee by coordinating meetings and documentation, facilitating public input, managing contractor and consultant partnerships, and aligning revitalization efforts with regional tourism strategies.
